At Interaction Metrics, we protect the privacy of everyone who participates in our surveys or works with us to conduct them. This policy explains how we collect, use, and protect survey data for both survey respondents and clients.
For Survey Respondents
- Confidentiality is Guaranteed
- All survey responses are treated as confidential.
- If you request anonymity, we remove your name and review your responses for any other identifying details before sharing results with our client.
- Identifying details include, but are not limited to: job titles in small departments, specific incidents, contact information, or any content that could reasonably reveal your identity.
- Optional Identification
- If you choose to share your name, we may include it in the data provided to our client only if you have not requested anonymity.
- Even when your name is shared, your responses are used solely for the purposes of the survey.
- How We Use Your Feedback
- Your responses are aggregated with those of other participants to create reports.
- Feedback is used only to help our client improve their products, services, or customer experience.
- No Marketing Use
- We do not sell, rent, or share your personal data with third parties for marketing purposes.
For Clients
- Independent Data Collection
- Interaction Metrics acts as an independent, neutral third party to ensure survey responses are candid and unbiased.
- Anonymity Requests Are Honored
- If a respondent requests anonymity, we will not share their name or any identifiable details.
- Our analysts review open-text responses and redact identifying details before sharing with clients.
- Data Access
- Clients receive aggregated results unless explicit consent is given by the respondent for identification.
- Raw data with identifying details is not shared unless agreed to in advance and compliant with applicable privacy laws.
Data Protection and Security
- All survey data is stored on secure, encrypted servers.
- Access is restricted to authorized Interaction Metrics staff who need it to perform their work.
- We retain survey data only as long as necessary for analysis and reporting, unless otherwise required by law or contract.
- Industry best practices are followed for securing both personally identifiable information (PII) and non-PII data.
Legal & Compliance
- Our Role Under Data Protection Laws
- For most projects, Interaction Metrics acts as a data processor on behalf of our client (the data controller).
- When we collect respondent contact information directly, we act as the data controller for that information.
- Applicable Laws
- We comply with applicable privacy regulations, including the EU General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and other relevant laws.
- International Data Transfers
- If survey respondents are located outside the United States, data may be transferred to and processed in the United States. Such transfers are handled in compliance with applicable legal requirements.
- Third-Party Services
- We may use secure, reputable survey platforms (e.g., Qualtrics, Alchemer) to host surveys. These platforms process data according to our instructions and are bound by contractual privacy and security obligations.
- Breach Notification
- In the unlikely event of a data breach affecting survey data, we will notify affected clients and, where required by law, affected respondents and regulators within legally required timeframes.
Your Rights
- Survey Respondents may request:
- A copy of their survey responses.
- Correction of any personal data they provided.
- Deletion of their survey responses from our systems.
- Clients may request details of how we store, process, and anonymize survey data.
